Mailbox Reimbursement Program
 
On December 1, 2018, members of South Hampton Homes Association passed an amendment to the Homes Association Declaration specifying that the Homes Association will provide reimbursement to residents for replacing mailboxes and mailbox posts.  The requirements for reimbursement, and specifications on materials and other requirements, can be found on the Resident Mailbox Reimbursement Form.
 
Residents seeking reimbursement for their mailbox and mailbox post maintenance/replacement related costs should complete the form and submit it, with all required documentation, to:

Reimbursements will be processed at the direction of the Board of Directors and as provided for in the approved annual budget.
 
Please remember that the mailboxes must meet the guideline for reimbursement and be submitted through the portal as a work order

Update from December 1st Special Meeting: Meeting Results

South Hampton Homes Association Members,

A Special Meeting of the South Hampton Homes Association was held today from 10am to 1pm at Sunnyside Elementary.  The purpose of the meeting was for residents to make comments and cast their votes on proposed language amendments to the Association Declaration and the Declaration of Restrictions regarding mailboxes, voting procedures and sheds.

Residents were also given the opportunity to cast their vote by mailing in their directed proxy, which was mailed to all home owners, should they be unable to cast their vote in person today.

A total of 45 directed proxy votes were received by mail for the Amendment of the Declaration.  A total of 50 directed proxy votes were received by mail for the Amendment of the Declaration of Restrictions.  There was no limit to the number of mailed votes able to be counted.  All mailed votes were counted as part of this special meeting.

The results of the vote held today, including all votes received by mail, are as follows:

Amendment to the Association Declaration (mailboxes and voting procedure):

In order for proposed amendments to the Association Declaration to be adopted, a total of 106 homes needed to cast a vote.  Of the 106 homes voting, 70 needed to vote FOR the Amendment.

Mailbox Reimbursement: 112 total votes FOR the proposed Amendment.  16 total votes AGAINST the proposed Amendment.  128 total votes cast.  The proposed Amendment for mailbox reimbursement PASSES.

Voting Procedure: 125 total votes FOR the proposed Amendment.  3 total votes AGAINST the proposed Amendment.  128 total votes cast.  The proposed Amendment for voting procedure PASSES.

Amendment to the Declaration of Restrictions:

In order for the proposed amendment to the Declaration of Restrictions to be adopted, a total of 265 homes must vote FOR the Amendment. 

Sheds: 105 total votes FOR the proposed Amendment.  29 votes AGAINST the proposed Amendment.  134 total votes cast.  The proposed Amendment for sheds DOES NOT PASS.

Attention South Hampton Residents,
The Board of Directors has called a Special Meeting on Saturday, December 1st, 2018 to hold a vote on proposed changes to the Association's governing documents.  The proposed changes are as follows:
 
Homes Association Declaration
 
There are two proposed amendments to the Homes Association Declaration.
 
Mailboxes - The proposed amendment seeks to clarify that the Homes Association will have the option of
reimbursing Association members for the cost of maintenance, repair or replacement of mailboxes and mailbox posts within the Association.
 
Voting - The proposed amendment seeks to establish a written process for the annual election of members of the Board of Directors.
 
Declarations of Restrictions

Currently, the South Hampton Homes Association Declarations of Restrictions prohibits sheds/outbuildings.
 
Sheds - The proposed amendment seeks to allow sheds within South Hampton Homes Association with certain restrictions on size, material and location.
 
The meeting will be held on Saturday, December 1, 2018 beginning at 10 a.m. and ending at 1 p.m.  Residents may cast their vote during this time and do not need to stay for the entire meeting. 
 
The location of the meeting is Sunnyside Elementary School, 16025 S Lindenwood Dr., Olathe, KS 66062, in the cafeteria.
